Who we are

Smart Funding Solutions is a trading style of Smart Funding Solutions Limited.

Smart Funding Solutions Limited is responsible for the personal information collected through this website and through our commercial finance brokerage activities.

Information we collect

Depending on your enquiry, we may collect:

  • your name
  • email address
  • telephone number
  • business name
  • business address
  • business sector
  • funding requirement
  • requested funding amount
  • information about the purpose of funding
  • financial information
  • company accounts
  • management information
  • bank statements
  • asset and liability information
  • information relating to directors, partners or guarantors
  • identification and verification information
  • information about existing borrowing
  • correspondence between you and us
  • any other information reasonably required to assess and progress your funding requirement

How we use your information

We use the information you give us to understand your funding requirement, prepare it for presentation to lenders, and manage the funding process on your behalf.

We may also use your information to:

  • communicate with you
  • assess the nature of your requirement
  • identify potential lenders and funding products
  • prepare finance proposals
  • assist with lender underwriting requirements
  • carry out identification and verification checks
  • maintain appropriate compliance records
  • prevent fraud and financial crime
  • administer our business
  • respond to complaints
  • comply with legal and regulatory obligations

Who we share information with

We share your information with lenders and funders we approach on your behalf, so they can assess your application, and with White Rose Finance Group Ltd as our principal firm.

We may also share information where reasonably necessary with:

  • credit reference agencies
  • fraud prevention agencies
  • identity verification providers
  • professional advisers
  • compliance providers
  • technology and document-management providers
  • regulators
  • law enforcement agencies
  • other parties where disclosure is required by law

We will not sell your personal information to third parties.

Credit reference and fraud prevention checks

Where appropriate, lenders or funders may undertake credit-reference, identity-verification, anti-money-laundering or fraud-prevention checks.

These checks may leave a record with the relevant agency.

Where consent or further notification is required, this will be dealt with during the application process.

Connecting your accounting software

When you apply, you can choose to connect your Xero, QuickBooks or Sage account instead of uploading your accounts. You sign in to that service yourself and give us read-only access. We never see your password.

We use that access once, straight away, to download your profit and loss, balance sheet and, where available, aged debtors and creditors reports. These are saved to your file with us as one document, in the same way as accounts you upload, and are used only to prepare your funding proposal and to share with the lenders you choose.

Our access ends as soon as the download is complete, and we do not keep any ongoing connection to your account. We do not use this data for marketing, we do not sell it, and we do not pass it to any artificial intelligence service. You can also check or remove connected apps at any time in your accounting software's settings.

Legal basis for processing

Depending on the circumstances, we may process personal information because:

  • it is necessary to take steps at your request before entering into a contract
  • it is necessary to perform a contract
  • we have a legitimate business interest in providing commercial finance brokerage services
  • we must comply with a legal or regulatory obligation
  • you have provided consent where consent is required

How long we retain information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet legal, regulatory, compliance and record-keeping requirements.

Retention periods may vary depending on the nature of the enquiry, transaction and applicable obligations.

Security

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

International transfers

Some service providers used in the operation of our business may process information outside the United Kingdom.

Where this occurs, appropriate safeguards will be used where required by data-protection law.

Your rights

Depending on the circumstances, you may have the right to:

  • request access to your personal information
  • request correction of inaccurate information
  • request deletion of information
  • request restriction of processing
  • object to certain processing
  • request transfer of your information
  • withdraw consent where processing is based on consent

These rights are subject to legal and regulatory limitations.

Marketing

We may contact existing or prospective clients about relevant services where permitted by law.

You may ask us to stop marketing communications at any time.
